1. Introduction

This is the Privacy Policy (the Policy) of houseandflatshare.co.uk (the Site). In this document, “we”, “our” “us” refers to House and Flatshare Limited.

The Site is operated by House and Flatshare Limited whose registered office is APARTMENT 71 DIDSBURY GATE 1 HOUSEMAN CRESCENT MANCHESTER ENGLAND M20 2JB, company number 08648630.

We are committed to safeguarding and protecting your privacy when using the Site. The Policy outlines how we may use any of the personal information you provide to us through your use of the Site.

We may collect and process data about you whether you register as a member or not.

Any and all information collected through the Site or via any emails you send us will be kept confidential. It will not be sold, rented, traded, loaned, given away or otherwise disclosed to any other party unless we receive your explicit consent, the disclosure is required by law or for the purpose of protecting your membership.

2.  Information We Collect About You

When you register as a member on the Site we will ask you for specific information about yourself.  The specific information we request will be dependent on whether you are registering as a Landlord or a Housemate member and enables us to personally identify you.

We need this information from you to enable us to provide you with the service we offer.

We may also collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users' browsing actions and patterns, and does not specifically identify any individual.

We may also collect information that is not personally identifiable and store such information for the purpose of statistics and research and to make the Site more usable.  We will not share this information with any third parties except in the preparation of statistical reports.

3.  How We Use The Information We Collect About You

We will use your information in the following ways:

a)  To ensure your use of the Site is as productive for you as possible and to present the Site in the most effective manner for you and the computer you are using.

b)  To carry out our service and provide you with information, products and services that you have requested from us.

c)  To search for appropriate members fitting your search criteria and provide you with match emails and search criteria results.

d)  To display your profile in other users’ searches.

e)  To enable you to send messages to, and receive from, other members.

f)   To notify you about changes to the Site and / or our service.

g)  IP addresses can be used to identify the location of users and can be used to block disruptive users and usage.

h)  To invite you to participate in surveys about our services (participation is always voluntary)

i)   For marketing purposes where you have specifically agreed to this (see section 5 below).

 

4.  How We Store Your Information And How Long Is Your Information Stored For

The information that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. Such staff maybe engaged in, among other things, the fulfillment of the service you have requested, the processing of your payment details and the provision of support services. By submitting your personal information, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your information is treated securely and in accordance with the Policy.

Unfortunately, the transmission of information via the Internet is not completely secure. Although we will do our best to protect your personal information, we cannot guarantee the security of your information transmitted to the Site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

We are required to hold your personal information in our systems for as long as is necessary to facilitate the service you requested.

If you wish us to remove the personal information we hold about you then you would be required to cancel your membership.  Cancelling your membership will also delete your profile, messages and advertisements. Once you cancel your membership the membership is flagged as deleted in the database and while we will not use the personal information, it stays on the system for a period of one year for administration / security purposes before being deleted permanently.

Even once your personal information has been deleted, we will still have a log of the invoices raised via the self billing procedure and these will be kept for as long as is required by HM Revenue & Customs.

5. Marketing

We will not contact you for marketing purposes, or promote any new services to you unless you specifically agree to be contacted for these purposes

6.  How We Share Your Information

We will keep any and all information which is collected through the Site confidential.  This confidentiality will extend to any emails you send to us.

We will not disclose information about you which makes you identifiable to other users of the Site, save for the information contained in your advertisement. We may however provide members with aggregate information about our users and/members.  We may also use such aggregate information to help members reach their target audience.  We may make use of the personal information we have collected from you to enable us to comply with our members’ wishes by displaying their advertisement to that target audience.

Except as otherwise set out in The Policy we will not disclose your personal information to any third party unless the disclosure of the information is required by law or it is necessary to enforce the content of the Terms or The Policy or otherwise protect our legal rights or the security and/or safety of users and/or members of the public.

7.  Changes To The Policy

We may update the Policy from time to time so you may wish to check it each time you submit personal information to the Site. The date that the Policy was last updated will appear on this page.

8.  Cookies

The Site uses a variety of cookies.
